Quietbill / Stripe receipt vs invoice
Stripe receipt vs invoice
Stripe receipt vs invoice: a receipt confirms that a payment happened, and an invoice is the formal document a business keeps for its books. Customers who pay for work expenses often need the second one, and Stripe’s default email is the first.
Receipt vs invoice, side by side
| Stripe receipt | Invoice | |
|---|---|---|
| What it is | Confirmation that a payment went through | A numbered record of the sale |
| Invoice number | Usually not an invoice number | Yes, in sequence |
| Buyer’s company name and address | Only what was collected at checkout | Yes |
| Buyer’s VAT or tax ID | Usually not shown | Yes, when the buyer provides it |
| Line items and tax | Summary of the charge | Itemised, with a tax breakdown where tax applies |
| Who asks for it | Anyone who paid | Businesses, for bookkeeping and VAT reclaim |
What a receipt contains can vary with how you set up Stripe, and requirements for invoices vary by country. Treat this table as the usual case, and ask your accountant about yours.
Why customers ask for an invoice after paying
The buyer is often a company, and the person who paid isn’t the person who does the books. The accountant needs the company name, the address and a VAT number on a numbered document. The receipt doesn’t have them, so the buyer emails you, and you open a PDF editor.
How Stripe can create an invoice for you
For Checkout and Payment Links, Stripe can create an invoice with each payment if you turn invoice creation on. For one-time purchases that costs 0.4% of the payment, capped at $2. See Stripe Payment Link invoices for the options, and the fee calculator for your volume. Stripe doesn’t let you edit a paid invoice, so a buyer who forgot their VAT number can’t have it added to that one. The guide on adding a VAT number to a Stripe invoice covers what to do then.
When the receipt is enough
If your buyers are mostly consumers and almost nobody asks for an invoice, the receipt may be all you need. The trouble starts when business customers are a real share of your sales.
Questions
Is a Stripe receipt a valid invoice?
It depends on the country and on who is asking. A receipt confirms a payment. It usually doesn’t include an invoice number or the buyer’s company details. If a business customer needs those for bookkeeping or a VAT reclaim, they will ask for an invoice. Check the rules where you sell with your accountant.
What does an accountant need on an invoice?
Commonly an invoice number, the issue date, the names and addresses of seller and buyer, tax IDs, the line items, and a tax breakdown. Requirements differ by country, so confirm with your accountant.
How do I send an invoice to a customer who already paid?
You can write one by hand, turn on Stripe invoice creation for future payments (0.4% of the payment, capped at $2 for one-time purchases), or give customers a link where they download their own. Quietbill is the last one.
Can my customer download an invoice without emailing me?
With Quietbill, yes. They confirm their email, add their company details and download a numbered PDF. Amounts and dates are locked to what Stripe recorded.
